HB Medical

Terms of service

Last updated 16 October 2026

The agreement

These terms are between you and HB Medical ("we", "us"). By creating an account or using the software you agree to them. If you are agreeing on behalf of a company, you confirm you are allowed to.

What we provide

Access to our field software for medical device sales: accounts and clinician records, visit notes, follow-up reminders by text and email, invoicing and payment links, commission calculation, and consignment stock tracking. We improve and change the software over time. If we remove something you depend on, we will tell you first.

Accounts

Accounts are created by invitation. Nobody can register themselves into an organization they were not invited to. Keep your login to yourself — you are responsible for what happens under it, and one login is for one person.

If your account belongs to a distributor, that distributor's owners and managers can read the work records you create. They cannot edit or delete your notes. If you leave that distributor, the work records stay with the organization.

Your records are yours

You keep ownership of everything you put into the software. You give us only the permission we need to store it, process it and show it back to you and to the people in your organization who are entitled to see it. We do not use your records to train artificial intelligence models, and we do not sell them.

You can export your data at any time, and you can ask us for a copy after you cancel.

No patient information

This is important enough to be a term and not just a recommendation. The software is a sales tool. It is not a medical record and it is not built or certified to hold protected health information.

You agree not to enter patient names, dates of birth, medical record numbers, ages or any other patient-identifying detail, in a typed note, a dictated note or any other field. We block what we can detect, but detection is not a guarantee. If you enter patient information anyway, that is your responsibility, and we may remove it or suspend the account.

Text messages

We send texts only to users who have opted in, and only the reminders and account notices described in our privacy policy. Replying STOP ends them. You are responsible for the phone number you give us being yours and for keeping it current. Message and data rates may apply.

Acceptable use

Do not:

  • share a login, or use the software on behalf of someone without an account
  • try to reach another organization's data, or probe the service for weaknesses without our written permission
  • scrape, resell or redistribute the software or its data
  • upload anything unlawful, or anything containing patient information
  • use it to send messages to people who have not agreed to receive them

Fees

Prices are as published on this site. Subscriptions are monthly, in advance, and renew automatically until cancelled. Distributor plans include a number of rep seats, and seats beyond that are charged monthly at the published rate.

We will give at least 30 days' notice before changing the price of an existing subscription. Fees already paid are not refundable except where the law requires it. If payment fails we may suspend access until it is settled.

Cancelling

Cancel at any time; access continues to the end of the period you have paid for. We may suspend or close an account that breaches these terms, and for anything other than a serious breach we will warn you first and give you a chance to put it right. After closure you have 30 days to request an export of your data.

What we do not promise

The software is provided as it is. We work hard to keep it running and accurate, but we do not promise it will be uninterrupted or error-free, and we do not guarantee that a text message or email will arrive — delivery depends on carriers and providers we do not control. Treat a reminder as a helpful prompt, not as a guarantee that you were told.

Bob tidies dictated notes and suggests follow-ups automatically, and it can get things wrong. You always see what it produced before it is saved, and checking it is your job. Nothing in the software is business, legal, tax or clinical advice. Commission figures are a calculation from the records in the system and do not replace your agreement with your distributor or manufacturer.

Liability

To the extent the law allows, neither party is liable for indirect, incidental or consequential losses, including lost profits, lost business or lost data. Our total liability for any claim is limited to the fees you paid us in the twelve months before the claim arose.

You agree to cover us against claims arising from your use of the software in breach of these terms, including any claim relating to patient information you entered or messages sent to people who had not agreed to receive them.

Changes

We may update these terms. For anything that materially affects you we will give at least 30 days' notice by email, and continuing to use the software after that means you accept the new terms.

Law and contact

These terms are governed by the laws of South Carolina, and the courts there have exclusive jurisdiction. If any part of these terms is unenforceable, the rest still applies.
